Update to NDEO Privacy Policies
Author Last Post

Dear NDEO Member,

If you use any online services, you've undoubtedly received an email from each one about changes to their privacy rules as a result of the European General Data Protection Regulations (GDPR). These regulations will also apply to the National Dance Education Organization on both the NDEO website (
www.ndeo.org) as well as our NHSDA honor society website (www.nhsda-ndeo.org). We have been working closely with ClubExpress, our association management software vendor and website host, to comply with these new regulations.

ClubExpress strictly protects and secures your personal data. They have implemented strong measures to control who has access to this data. One of the reasons we chose them to manage the organization's website, member database, and other functions is because they take security and privacy so seriously. They have recently updated their platform to support GDPR and to fully protect you and our organization. We have also updated our Privacy Policy to fully and clearly explain how we collect, store, and process your personal data, our business reasons for doing so, and your rights under this policy.

Beginning on Tuesday June 12, 2018, when you login to either of our websites, you will be redirected to a new pop-up screen where you will be required to answer a couple of questions. This is a one-time process.

  • You will be required to click an "I Agree" box to certify the following:
    • That you have reviewed the updated Privacy Policy. A link can be found here; it will also be available on the new screen and at the bottom of every website page.
    • That you consent to the storage and processing of your personal data in the USA, by ClubExpress, on our behalf.
    • That you consent to receiving transactional messages sent by ClubExpress on our behalf, such as a renewal notice, event registration, order summary, or a payment confirmation.
    • That you consent to the sharing of your personal data with necessary third parties to conduct the official business of the organization, such as processing a credit card payment.
  • You will also be asked whether you will accept general purpose communications concerning club or association business, such as newsletters and event notices. This includes e-Blasts and emails concerning information on a range of NDEO programs and services such as National Conference, National Honor Society for Dance Arts, Online Professional Development Institute (OPDI), Journal of Dance Education (JODE), Dance Education in Practice (DEiP), Standards, Advocacy, Research, and more. This question is required, but you have the option to accept or decline such communications. If you decline such communications, please be aware that the majority of NDEO’s communication with its members happens via e-Blasts and emails. If you decline, you will not receive timely information of upcoming programs, deadlines, member benefits, or events.
  • This new pop-up screen does not apply to our Online Forums as members retain full control over which forums they belong to as well as the frequency and type of notifications they receive by adjusting their settings within their member Profile. Forum privacy settings are not affected by these new privacy protocols as you have an Opt-out option.

In compliance with the GDPR, we have appointed a Data Protection Officer ("DPO") to handle any questions or concerns you might have about the privacy of your personal data. That person's name and contact information can be found on our Contact Us page.

Another provision of the GDPR is the "right to be forgotten", i.e. to have your information completely removed from our databases. As a membership services organization we collect personal information to manage the organization and provide member benefits and resources, and unfortunately, if you request to “be forgotten”, you will no longer be a member of NDEO. Should you choose this option, please know that there are no refunds on any previously paid fees including, but not limited to, membership dues, honor society payments, and event registration fees. We are implementing an automated process to handle these requests. Until it's fully built, they should be submitted to the DPO.

Thank you for continuing to support us as we implement these important changes to protect your privacy.

Sincerely,

Susan McGreevy-Nichols

NDEO Executive Director
